2.2. Appointments & Cancellations
- Appointments must be scheduled in advance through the designated booking channels (phone, email, or online system).
- A 24-hour notice is required for appointment cancellations or rescheduling. Failure to cancel within this time frame may result in a cancellation fee.
- Late arrivals of more than 15 minutes may require rescheduling at the discretion of the practice.

3. Billing & Payment Policy
3.1. Fees & Payment Terms
- Consultation and procedure fees are payable on the day of service, unless otherwise arranged.
- Payments can be made via cash, EFT, credit/debit card, or through an approved medical aid scheme.
- Patients remain personally responsible for any shortfall between the medical aid coverage and the total cost of treatment.
3.2. Invoicing & Statements
- Invoices will be issued upon completion of the service or treatment.
- Statements can be requested for patient records, tax purposes, or medical aid claims.
- Unpaid accounts are due within 30 days from the date of service.
3.3. Late Payments & Collection
- Outstanding accounts beyond 30 days will incur additional fees, including collection costs, legal fees, and interest as per the law.
- If a patient fails to settle outstanding amounts, the practice may hand over the account to a debt recovery agency.
4. Medical Aid & Insurance Claims
- The practice does not guarantee medical aid coverage and reimbursement.
- It is the patient’s responsibility to confirm benefit availability with their medical aid provider.
- Claims submitted to medical aid remain the patient’s responsibility, and any unpaid amounts must be settled directly.
5. Refund & Cancellation Policy
5.1. Refunds
- Refunds are processed only in cases of billing errors, duplicate payments, or overpayments.
- Refunds will not be issued for completed consultations, procedures, or missed appointments.
5.2. Service Cancellation
- If a medical procedure is cancelled by the patient, a cancellation fee may apply depending on the timing and resources allocated.
- The practice reserves the right to cancel or reschedule appointments due to unforeseen circumstances, including emergencies or practitioner availability.
6. Data Protection & Privacy Policy
- Personal information is processed in compliance with POPIA (Protection of Personal Information Act).
- Medical and financial records will be securely stored and retained for a period of 6 years, after which they may be destroyed.
- The practice may send appointment reminders and follow-up notifications via email, SMS, or phone calls.
